Who we are

Engage Healthcare ("we", "us", "our") is a recruitment agency based at Imperium, A33 Imperial Way, Reading, RG2 0TD, placing permanent nursing, residential care, early years and management staff into the private healthcare sector. We are the data controller for the personal data described in this policy.

Who this policy covers

  • Candidates: anyone who applies for a role, registers with us, or sends us a CV.
  • Clients: the nursing homes, care providers and nurseries we place candidates with.
  • Website visitors: anyone who browses this site or fills in a form on it, whether or not they go on to register with us.

The data we collect

What we hold depends on your relationship with us.

If you're a candidate

  • Contact details: name, address, email, phone number
  • CV, employment history, qualifications and references
  • Professional registration details where relevant to the role (for example an NMC pin for nurses)
  • Right to work documentation
  • Salary expectations and availability
  • Any equal opportunities information you choose to give us (this is never required)
  • Health or medical information, only where it is relevant to a specific role's requirements, and only with your knowledge

Where a role requires a DBS (criminal record) check, this is arranged directly between you and the employer; we do not carry it out and do not hold or see the result.

If you're a client

  • Business contact details for the people we deal with at your organisation
  • Details of the roles you ask us to fill

If you're a website visitor

  • Whatever you enter into a form on this site: the contact form, a job application, or the data request form on our How We Process Your Data page
  • Basic technical information generated by using the site (see Cookies, below)

How we collect it

Directly from you (through our website forms, by email, over the phone, or in person) and, for candidates, sometimes from a professional referral, a job board, or a previous employer providing a reference with your knowledge.

Why we process it, and our legal basis

  • To match candidates with roles and place them: necessary to perform the contract we have with you, or to take steps at your request before entering one.
  • To verify eligibility to work and fitness for a role, for example right to work checks and professional registration checks: necessary to comply with our legal obligations as a recruitment agency in a regulated sector.
  • To run our business: invoicing clients, keeping records, dealing with queries; our legitimate interest in operating Engage Healthcare, balanced against your rights.
  • To send you marketing updates about roles or sector news: only with your consent, which you can withdraw at any time.

Who we share it with

We share candidate details with the specific client we are putting you forward to, and only after discussing the role with you first. We may also share data with:

  • Reference providers, to verify suitability for a role
  • Our website, hosting, email and form providers (currently Netlify), who process data on our behalf under their own security and data protection terms
  • Regulators, professional bodies or authorities, where we are legally required to

We do not sell personal data, and we do not share it with anyone else for their own marketing purposes.

International transfers

Some of the tools we use to run this website and our business may store or process data outside the UK. Where that happens, we rely on providers that offer appropriate legal safeguards for that transfer, such as the UK's international data transfer provisions.

How long we keep it

We keep personal data for as long as it is needed for the purpose it was collected, and no longer. As a general guide:

  • Candidates we don't place: typically kept for 2 years from our last contact with you, so we can consider you for future roles, unless you ask us to delete it sooner.
  • Candidates we place: kept for the duration of the placement plus a further 2 years to meet our legal and contractual obligations.
  • Financial and tax records: kept for the period required by law, typically six years.

These are typical periods and may vary by circumstance. Contact us if you'd like specifics for your own data.

Your rights

Under UK GDPR, you have the right to:

  • Ask what personal data we hold about you, and get a copy of it
  • Ask us to correct anything that's inaccurate or incomplete
  • Ask us to delete your data, in some circumstances
  • Ask us to restrict or object to how we use it
  • Receive your data in a portable format, in some circumstances
  • Withdraw consent at any time, where we rely on consent (for example, marketing)

You can exercise any of these on our How We Process Your Data page, which has a short form for exactly this. We may need to verify your identity first, and we'll respond within one month as UK GDPR requires.

If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to put things right first.

Cookies

This site sets a small number of strictly necessary cookies so it can function (for example, remembering your cookie preference). These don't require your consent under UK law, but we disclose them here anyway.

We also use Netlify Analytics to understand overall traffic to this site: page views, referring sites and approximate location. This is generated from our hosting provider's own server logs, not from a script running in your browser: it doesn't set cookies, doesn't run any tracking code on your device, and doesn't identify you individually, so it needs no consent either.

With your consent, we also use Google Analytics to understand how visitors use this site in more detail: which pages are viewed, how people arrive here, and how they move through the site. If you accept, Google Analytics sets cookies (typically _ga and _ga_*) that identify your browser to us, and data about your visit is processed by Google, including outside the UK, under Google's own privacy policy. We don't combine this with the personal data described elsewhere in this policy, and Google Analytics is never used to identify you personally.

Google Analytics only loads if you click Accept on the cookie banner. If you click Decline, or don't respond, it never loads. You can change your mind at any time using the Cookie Preferences link in the footer of any page, which lets you re-open the banner and pick again.

Keeping your data secure

We use reputable, security-conscious providers to host this site and store data submitted through it, and we limit access to personal data to the people at Engage Healthcare who need it to do their job.

Changes to this policy

We may update this policy from time to time, for example if our data practices change or the law does. The date at the top shows when it was last revised.
